The Opportunity:  

Temporary Group Rooms Coordinator

 Who We Look For:  
This critical role is responsible for selling hotel accommodations and services along with all room reservations aspects for groups.  Actively monitoring and managing room blocks with the hotel inventory, as well as ensuring group contractual obligations are met, the coordinator communicates directly with group contacts, Sales Managers, Conference Service Managers, Operational Departments, and reservations and revenue management. 

Responsibilities:  
This list is not all –inclusive and should only be used as an overview of all actual responsibility. 

Capture sales from in-coming reservations calls and coordinate details of each reservation.  

Answer General Reservations e-mail, retrieve and distribute mail and process brochure requests. 

Handle guest complaints in accordance with Four Seasons policy. 

Run appropriate reports checking for special requests and hard blocking any rooms that are not hard blocked for special requests, inform Manager of any Special Attention, VIP guests and assist CIS Leader in obtaining arrival times for VIPs or Special Attention guests. 

Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and planning committee  

Process all group turn-overs 

Communicate all group activity – pickup, attrition and contractual guidelines to Group Contacts, Conference Service Managers and Sales Managers 

Run daily reports 

Provide Accounting with each groups’ rooming list from Group Contact and   pickup and/or attrition 

Provide reservations and Front Desk Staff with list of Call-In and Form groups, ensuring rate information, advance deposit, and cancellation policy is setup for quoting to guests as well as group confirmation letters; provide Conference Service Manager of any Special Attention, VIP information. i.e. arrival/departure manifest, billing, etc. 

Minimum Qualifications:  

Viable candidates must have a minimum of one year experience in hotel reservations. 

Knowledge of property management systems required.  Opera and Delphi knowledge preferred. 

Experience in a high volume call center highly desired. 

Candidates with a degree in hospitality, or similar, are preferred. 

Ability to quickly and positively establish rapport is required. 

Above average communication skills - both written and oral - are required. 

Current Four Seasons employees, bilingual candidates and those with prior experience in a luxury hotel/environment will receive priority consideration.
