Job Summary

Beacon Hill's client in Miami, FL is looking for a Staffing Coordinator to play a vital role in supporting the staffing process, ensuring accurate data management, and facilitating efficient communication across internal systems and teams. This position requires a detail-oriented professional who can manage multiple priorities in a fast-paced environment, providing essential support to case teams, leadership, and other stakeholders. The ideal candidate will demonstrate strong organizational skills, proficiency in managing databases, and the ability to collaborate effectively across regional and functional teams.

This is a long-term temporary opportunity based in Miami, FL operating in a hybrid format.

Job Responsibilities

Staffing Process Support

Provide timely support by tracking casework assignments and billing arrangements in support of required deadlines:Assist with the availability accuracy process - outreach to current case teams to confirm upcoming end dates for all consulting staff.Respond to ad-hoc requests for information related to staffing opportunities, availability, staffing data/reports, and consultant information.Collect all required data from case leadership to open a new staffing request, upload it into their system, and send it to other systems as needed.Develop working relationships with members of the local office to facilitate the information flow and provide timely, transparent information.Build and maintain relationships across the staffing operations group for support needed across systems.

Staffing System Data Management

Update and send out all individual staffing confirmations and track availability-related data in the Staffing database in a timely manner.Partner with HR to manage vacation time and LOAs, ensuring dates are entered.Availability comments should be updated as soon as you have clarity on an end date.Support updating performance highlights after every assignment.Update Past Projects & Assignments.Create project and resource request entries in system and continue to update often.Gather staffing data, analyze, and prepare reports on consultant deployment and investments as needed.

Regional Coordination

Make all necessary adjustments to the internal and published pipeline.Attend System and Regional calls and help action new and ongoing initiatives.Overall uphold all Standard Operating Procedures and Service Level Agreements.

Perform other duties and projects as required.

Qualifications

Bachelor's degree required.1-3 years of administrative support or human resources experience, preferably at a professional services firm.

Competencies:

Highly organized and attentive to detail.Able to prioritize and take action on tasks in a fast-paced environment.Excellent written and verbal communication skills and ability to effectively leverage communication tools (Outlook, Slack, Trello).Numeric proficiency and experience managing financial data.Ability to navigate and manage multiple databases.Proficient computer skills: MS Office, with a strong preference for substantial Excel and PowerPoint experience. 1401842_1734454781 To Apply for this Job Click Here
