Testing Coordinator (Administration) Bookmark this Posting Print Preview | Apply for this Job Posting Details Position Information Job Title Testing Coordinator (Administration) Full Time/Part Time Full Time FLSA Non-Exempt General Job Description This is a professional position responsible for assisting in the supervision and administration of high-stakes testing offered through computer-based or paper and pencil testing, and the creation and maintenance of a friendly, professional, service-oriented environment. Responsible for communicating extensively with examinees, university employees, and testing company staff; maintaining strict confidentiality and sensitivity to examinees’ special needs; and receiving, counting, administering and returning testing materials and equipment. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Director of Testing Services. Essential Job Functions 1. Administers, schedules and/or supervises high-stakes computer-based and paper and pencil tests in a computer lab following testing company policies, ethical standards, and university policies and procedures. 2. Serves as testing services office lead and provides excellent customer service in a high-volume environment to include answering phone calls and emails, and providing information to inquiries from students, faculty, staff and external customers. 3. Monitors testing services email account and responds to emails in a timely manner. 4. Greets, checks in and gives instructions to examinees following specific testing company requirements. 5. Serves as a resource for all examinees/assigned staff questions that arise throughout all testing processes. 6. Resolves any issues by quickly analyzing and solving problems independently or reporting them immediately to the director. 7. Receives and supervises the receipt of payments from students and others for departmentally sponsored activities. 8. Supervises and trains student workers in performing daily and routine duties. 9. Orders, receives and maintains office supplies, equipment requests and testing materials as directed. 10. Copies, processes and files relevant testing materials. 11. Maintains confidentiality and security of all testing materials, test logs and other test documents. 12. Serves as liaison with testing company staff to ensure non-problematic test delivery. 13. Maintains departmental records, files and inventory of equipment and materials. 14. Assists director in scheduling and verifying assigned staff, including student workers, have required certifications prior to administering applicable tests. 15. Serves as back-up site manager. 16. Assists in development of departmental policy manual. 17. Assists with making sure computers are functioning and in compliance with testing company specifications, troubleshooting simple connectivity failures and electronic scanning error messages, and contacting testing company staff for additional support during testing. 18. Assists with maintenance of all computers, printers and equipment used for testing, including but not limited to hardware configuration and hardware and software updates/upgrades. Non-Essential Job Functions 1. May collect testing data and compile revenue and usage data to assist director with various reports. 2. May act on director’s behalf in their absence. 3. May screen, interview, evaluate and/or select student workers. 4. Assists with special projects as assigned. 5. Works outside scheduled office hours and on weekends as necessary. 6. Performs other related duties as assigned. Ability to communicate effectively in both oral and written form. 8. Ability to work under pressure and meet close deadlines. 9. Ability to accurately prepare and maintain records, files and reports. 10. Ability to handle sensitive and confidential information responsibly. 11. Ability to establish and maintain a good rapport with university faculty and staff, students, external vendors, and the general public. 12. Ability to deliver positive customer service experiences. 13. Ability to work effectively and patiently with students. 14. Ability to train and supervise others. 15. Ability to work evenings, nights and weekends as necessary. 16. Ability to obtain within six months of employment and maintain required test administrator certifications. 17. Physical condition adequate to permit full performance of duties. Physical Demands Physical ability to perform essential job functions, including ability to stand up for more than one hour at a time, sit for more than one hour at a time, use hands to finger/handle/feel, reach with hands and arms, stoop, kneel, crouch, bend, lift up to 50 pounds, talk, and hear regularly as well as color vision, peripheral vision, and the ability to adjust focus. Required Education Associate’s degree or two years of college coursework is required. Required Experience and Training Three years of related experience is required. Test administrator certifications are required within six months of employment. Preferred Qualifications Bachelor’s degree is preferred. General office and customer service experience is preferred. Experience with computer-based testing and resolving test delivery issues is preferred. Supervisory experience is preferred. Experience in higher education is preferred. Special Conditions for Eligibility This is a security-sensitive position subject to criminal record check. This is an IT-sensitive position subject to the Computer and Network Security policy. Min Pay Rate Mid Pay Rate Salary Information Hiring Salary - $40,154, Salary Grade - 16 Specific Job Requirements/Duties for this Posting Is Background Check Required?
