General Statement Auxiliary Services comprised of 3 major divisions, University Student Housing, Culinary Services, and Event Services, provides a wide variety of student and campus services in support of the university’s mission. The division employs approximately 380 permanent staff and 1200 student and temporary workers. Duties and Responsibilities Reporting to Auxiliary’s Business Operations Analyst, the Timekeeping Coordinator works as part of the Auxiliary Administrative Operations team in support of the division’s employees and their pursuit of providing excellent service and support to the students and other constituents of MSU. As part of the Auxiliary Services timekeeping/payroll team processes payroll for the division on a bi-weekly cycle for up to 380 full time and 1200 student/temporary employees. Collaborates closely with University HR (UHR). Coordinates the Auxiliary Services’ payroll effort to ensure timely and accurate payrolls. Researches and resolves any payroll or benefit issues for Auxiliary staff. Knowledgeable regarding related department, MSU, State and Federal guidelines and processes for payroll and benefits. Assists with maintaining compliance of them. Works in departmental software and the university software to produce payroll. Guides and trains department supervisors on their payroll responsibilities. Maintains a high level of confidentiality in all payroll/benefits related matters.

Performs a wide variety of administrative tasks and data entry related to the provision of payroll and benefits. Setting up or terminating employees in the system. Regular reporting, analyzing, and auditing of all types of employee data to ensure data integrity and accuracy of the systems. Performs reconciliations related to payroll. Facilitates communication and paperwork submission to UHR. Acts as one of two junior software administrators for Auxiliary’s timekeeping and scheduling systems: TimeClock Plus (timekeeping) and Humanity (scheduling). Maintains knowledge of systems and troubleshoots technical and user issues as they arise. Conducts trainings for supervisors in both systems. Stays current with software updates and modifications. Performs any testing required in the systems. Assists with coordination of Classified and Professional new employee onboarding processes and trainings. Assists employees with MSU onboarding paperwork. Engages with new employees to set up their MSU access to My Info, email, etc. Maintains departmental instructional guides and training materials for Auxiliary supervisors on all related topics. Guides supervisors and employees on worker’s compensation and family and medical leave processes. Asked to be familiar with Auxiliary departments, their unique services and shifts. Actively participates as part of the team while performing other duties in support of the division’s mission. Required Qualifications – Experience, Education, Knowledge & Skills Progressively responsible administrative experience in a busy work environment or an equivalent combination of relevant education and/or experience. Proficient experience using computers and various software packages. Strong customer service focus; skilled at effectively and diplomatically responding to a diverse clientele that may include handling difficult customer service situations. Experience gathering, analyzing and/or evaluating information in order to solve complex matters. Preferred Qualifications – Experience, Education, Knowledge & Skills Significant experience working with spreadsheets and/or databases. Experience processing payrolls. Familiarity with human resources policies and procedures. Experiencing providing software training to end users.
