Training & Document Management Specialist

Description

Reporting to the Director of Compliance Training with oversight from the Director of Quality Management Systems, the Training Coordinator/Document Management Specialist is an integral member of the Quality and Compliance team. The Training Coordinator/Document Management Specialist is responsible for supporting the day-to-day activities of both the Learning and Document Management systems. This person will also act as an SME for ensuring employees have accurate training to meet compliance requirements and maintaining accuracy of training records. Additionally, this role will be responsible for supporting broader document management within the organization.

Responsibilities will include:

Training Responsibilities:

•\tProvide management/support of the Learning Management System (LMS)

•\tFacilitate new hire training on the ZenQMS system, as required

•\tManage the training mailbox

•\tAlong with the Director, Compliance Training, gather information from employees and management on previous training to identify knowledge gaps and areas that need additional training

•\tCreate and disseminate training communications

•\tAssist with the set-up of company-wide training events

•\tCreate and maintain reports on the outcomes of all training

•\tMaintain accuracy of training records for the company within the Learning Management system

•\tReview vendor training to include external and internal SCORM courses

•\tOther related duties, as assigned

Document Management Responsibilities:

•\tSupport the Document Management System by tracking documents in the review and approval stage

•\tAssist with updating metadata such as categories, document IDs. and effective dates

•\tManage the document mailbox

•\tCreate, prepare, and maintain functional, configuration, and user interface documentation

•\tCreate online instructional materials, release notes, user documentation, and basic manuals

•\tEnsure that documentation and corporate records adhere to all applicable legal, clinical, financial, and regulatory requirements

•\tStore, record, recover, archive, scan, and maintain documents in the QMS/LMS

•\tOther related duties, as assigned

Additional Skills & Qualifications

•\t5-7 years of experience managing a Learning Management System (LMS) within pharma/biopharma or other highly regulated industry

•\t5-7 years of experience working within a Document Management System

•\tKnowledge of instructional design and adult learning principles; experience designing and developing training content

•\tHigh proficiency in Microsoft PowerPoint, Excel, Word and Visio applications

•\tUnderstanding of current training trends

•\tHigh proficiency in navigating and managing Learning Management Systems (LMS) and E-Learning Platforms.

•\tStrong knowledge of SCORM (creating SCORM packages/reviewing/testing courses in sandbox and production environments)

•\tHigh proficiency in navigating and managing document management systems, managing metadata, and developing/modifying templates

•\tStrong organizational and time management skill; able to handle multiple assignments and/or projects simultaneously.

•\tStrong troubleshooting and problem solving skills

•\tExcellent verbal and written communication skills, including presentation skills.

•\tStrong interpersonal and leadership skills

•\tAbility to work within a team environment

•\tHigh attention to detail

• Experience assessing and analyzing training data.

Pay and Benefits

The pay range for this position is $30.00 - $40.00/hr.
