We are hiring for positions under the Global Health Training, Advisory, Support Contract (GHTASC) in support of the U.S. Agency for International Development (USAID) Bureau for Global Health (GH). These roles deliver institutional support services in a wide range of technical areas at the junior, mid-, senior, and expert levels.

Position Summary  

  

The Deputy Travel Manager is responsible for the overall administration, management, and coordination of travel while maintaining a high degree of customer service.  The Deputy Travel Manager works closely with the GHTASC Travel Manager to oversee the flow of travel documents and ensures the timely issuance and processing of Travel Authorizations, Travel Approvals, Travel Advances, Travel Vouchers/Expense Reports, Airline tickets, and other travel-related services.  The Deputy Travel Manager generates reports detailing travel performed by direct and non-direct hire staff, serves as the primary contact with travelers on travel service issues, and develops solutions to maintain customer satisfaction.  

Salary Range

Full salary range for this position is $95,000 to $125,000 per year, with the starting salary determined based on candidate’s knowledge, skills, experience, as well as budget availability.

Responsibilities include, but are not limited to the duties listed below Review and submit travel authorization requests for GHTASC staff traveling on temporary duty assignments within the United States and overseas with the required documentation. Track and monitor the day-to-day status of travel authorizations to ensure timely processing. Assist as needed to authorize ticket purchases, travel advance disbursements, payments for security training, and other travel-related expenses on company procurement card.  Assist with assigning travel requests and monitoring the Travel Specialists’ workload, performance, and duties. Train, back up, and support Travel Specialists as needed. Conduct travel orientation/training as needed. Contribute to developing and maintaining office systems, documents, and procedures. Create and analyze periodic and ad-hoc travel activity reports. Assist Travel Specialists and Travelers with resolving issues, clarifying travel policies and procedures, and ensuring the implementation of policies and guidelines. Respond to time-sensitive matters and practice analytical, strategic, and systematic thinking. Assist with the development of standard operating procedures to execute routine tasks and ensure quality output and uniformity are performed throughout the team. Communicate organizational goals and implementation to ensure alignment with policies and procedures. Serve as a backup to the Travel Manager. Other duties as assigned.  Education, Requirements and Qualifications Bachelor’s degree and 10 years of relevant experience, Associate’s degree and 12 years of relevant experience, or High School diploma and 14 years of relevant experience.   US permanent residency with the ability to obtain and maintain Facility Access or US citizenship with the ability to obtain and maintain a Secret Clearance. If US Permanent Resident, the candidate must have lived in the US for 3 out of the past 5 years.   

 

Other Qualifications and Requirements  Advanced knowledge of government travel policies, procedures, regulations, and Travel software is desirable. Experience using E2 Solutions travel software is highly desirable.   Outstanding communication and customer service skills.  Excellent proficiency in the use of Microsoft Office, Internet, and e-mail applications.   Exceptional organizational skills with the ability to manage several tasks simultaneously and work within tight schedule constraints.   Highly skilled in resolving conflicts and responding promptly to the ever-changing demands of travelers.   Advanced writing, communication, and presentation skills with ability to effectively present information and respond to questions from team members, managers, clients, and others.  Excellent ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
