Travel Booking Desk Manager

The Travel Desk Manager will be responsible for overseeing the planning and booking of travel arrangements for IQVIA and non-IQVIA personnel attending corporate meetings and events across Global locations. This role requires excellent communication, organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

•    Team Management: Leading a team of Travel Booking Associates who handle travel arrangements for both internal and external meetings and events.
•    Travel Coordination: Primarily booking flights, but also arranging hotels and ground transportation as needed.
•    Customer Engagement: Working with internal customers to define and agree on project-specific travel requirements.
•    Process Management: Ensuring that travel bookings are made using standard processes and systems.
•    Performance Tracking: Monitoring and managing the team's performance against service level agreements (SLAs) and key performance indicators (KPIs).
•    Financial Cost Management: Conducts the financial and accounting operations of the function . Prepares, collects and interprets financial information; prepares budgets, reports, forecasts and statutory returns; conducts financial analyses of proposals, 

Essential Functions

Work with key stakeholders globally to plan and forecast their future business requirements.

Coordinate a team of global Booking Associates in the booking of flights, hotels and Ground transportation to meet the defined customer requirements, delivered against the agreed operating procedures.

Resource planning to ensure the correct levels of the appropriate resources are maintained within the team to be able to deliver the customers requirements.

Maintain accurate accounting records to:
- capture the functional income and outgoings related to the service delivery.
- Cross charging of project costs
- Create and maintain standard operating procedure documents to ensure the effective and compliant delivery of the services.
- Maintain effective management of the 3rd party suppliers and systems used to support the delivery of the services.
- Provide customer service management to ensure a high level of customer satisfaction is maintained.

Experience:

Min 3-5 years experience of managing a travel booking team, ideally across multiple countries.

Min 1-2 years of experience in a supervisory or managerial role, overseeing a team and managing day-to-day operations, ideally but not essential, across multiple countries and regions.

Min 3-5 years experience of working with:
- Global Distribution Systems (GDS) like Amadeus, Sabre, or Galileo
- Traveler itinerary sourcing - ideally Concur but other enterprise level solution experience will be acceptable.
- Venue finding - ideally Cvent or but this is not essential

Skills:

Ability to use Microsoft Excel & Word applications

Ability to manage conflicting priorities.

Ability to work under pressure and handle last-minute
changes

Strong analytical and numeracy skills.

Strong problem solving skills.

Effective verbal and written communication skills.
