Travel Services Coordinator

The Travel Services Coordinator is an integral member of the Baird Travel team.  This role works alongside the Travel Manager to support firmwide and business unit travel initiatives, Baird’s global travel policy, the traveler and travel arranger experience, and vendor relationships.

Additionally, this position is responsible for critical administrative tasks related to associate communication, vendor payments, reporting requests, vendor system maintenance needs, and more. 

As the Travel Services Coordinator, you may:

Work alongside Travel Manager to monitor travel management company and travel risk management company programs to maximize the traveler experiences and safety.

Maintain current knowledge of Baird’s travel program, travel industry best practices, trends, vendors and products.

Develop essential working relationships with travelers, travel arrangers, and external vendors – Becoming a trusted resource who assists the Travel Manager in providing reliable associate education and training. 

Partner closely with key internal partners who support travel – Finance, Risk Management, Business Continuity, Human Resources, Corporate Events, Conference Services, Hospitality, etc.

Operate as frontline Concur Travel support for Baird’s travelers and travel arrangers, which includes, responding to and troubleshooting daily user questions and issues, providing arranger access to travelers and creating and deleting access for recruits.

Run, maintain and analyze data & reports as needed.

Identify opportunities for improvement and/or enhancements to the Firm’s existing travel program.

Assist in the creation of collateral pieces and maintain BairdWeb Department page.

Manage critical travel administrative tasks including, but not limited to: Invoice processing, documentation upkeep, vendor system maintenance, calendar management, mass email distribution as needed, etc.

What we look for:

Bachelor’s degree preferred.  Minimum of 3 years of experience in very high-level team administrative or office management/operations or relevant position. 

Impeccable interpersonal skills with ability to build and foster strong relationships quickly.

Strong commitment to provide exceptional customer service. Flexible and highly adaptable, willing to pitch in and help others whenever and wherever necessary.

Ability to work both independently and collaboratively in a fast-paced environment with time-sensitive responsibilities.  

Ability to think quickly on your feet, problem-solve, maintain calm & professional demeaner, and retain composure in stressful situations.

Ability to prioritize daily workflow to effectively meet deadlines with accuracy and reliability.

Consistent desire to take initiative and own projects with varying degrees of complexity.

Advanced computer skills including Outlook, Word, Excel and PowerPoint with ability to learn specific industry software.

Concur experience preferred.

Total Rewards and Compensation Package:

$24.56 - $35.89/hour range

Bonus potential up to 8.5% of base compensation

Compensation and bonus are commensurate with experience, performance and/or firm profitability
