With a focus area of support for a high volume of large group visits from schools and community-based organizations, this position will support recruitment and relationship building. Additionally, this position will provide support to the undergraduate admissions team with a focus on records and report maintenance, coordinating schedules and daily office activities. Minimum Qualifications Bachelor’s degree (conferred by date of hire). 1 year of experience in Marketing/Sales/Admissions/Education/Customer Service. Experience working with diverse populations, strong interpersonal, public speaking and organizational skills. Strong computer skills. Reliable transportation is required due to travel. Driver’s License required. Must meet University requirements to drive a university vehicle. Preferred Qualifications 3-5 years experience in Admissions. Work experience at a college or university. Experience using Customer Relationship Management (CRM). Essential Functions and percent of time: Group Visit Coordination (40%) Schedule group visits for school groups, college requests, weekend visits, specialty requests, community-based organizations Create activities for special tour itineraries (elementary/middle school, non-traditional students, collaborate with colleges/departments) Maintain special tour presentation Manage day-of responsibilities for special tours (greet, escort, present, etc.) Maintain group visit calendar, both CRM and website Work with on campus teams, like catering and student union event services team, to provide a robust visit experience Ensure visitor information is loaded in CRM for recruitment initiatives Provide monthly report on group visits Daily Office Management and Support (20%) Maintain and manage Undergraduate Recruitment calendar including timely registration for college fairs, and off campus events. Manage inventory and distribution of items for Undergraduate Admissions and Enrollment Management including publications, swag, and uniforms. Maintains supplies, equipment, and travel materials. Maintain records for rental car usage, track approved users and schedule car usage and service. Coordinate routine requests for information and event donations. Support Associate Vice President, Enrollment Management and Undergraduate Admissions in maintaining excellent operations that focus on the student experience and supporting staff. Provide support to Director of Enrollment Communications, Director of Enrollment Operations, and Senior Director of Recruitment for daily office management. Maintain an overview of income and expenditures; confer with Associate Vice President, Enrollment Management and Undergraduate Admissions on discrepancies. Acts as a department liaison with other departments and with outside agencies. Compile information and assist in preparation of reports to support recruitment, communications and operations teams. Manage the tracking and timely processing of vendor payments and maintain positive relationships with all vendors. Ensure accuracy of vendor payments and address discrepancies through audits and compliance reports. Coordinate the PO process for vendor agreements Ensures office coverage and coordinates calendars Communications and Operations (20%) Assist Enrollment Communications team in research and content development for recruitment related outreach Assist Enrollment Operations team with application and transcript processing at peak times Data entry in CRM Customer Service (15%) Prioritize the student experience and provides exceptional customer service. Communicate directly with students and families as they navigate all parts of the admissions process. Calls, texts, and emails directly throughout the process. Works closely with school counselors providing update-to-date information on Wright State and the students they are working with. Assist with daily correspondence including answering incoming phone calls and emails to general office connection points to maintain positive relationships. Assist with staffing the welcome desk to greet guests Assist in general recruitment activities including high school visits, college fairs, and presentations Other duties (5%) Serve as an active member of Admissions through membership on committees. Assist with on and off campus events and programs. Occasional travel and work nights and/or weekends. Complete special projects and duties as assigned. Undertake other duties as assigned to assist in maintaining operations for undergraduate admissions and enrollment management. Essential Functions and percent of time (cont'd): Non-Essential Functions and percent of time: Working Conditions Climate controlled office environment with high volume of customer service traffic. Requires extensive evening and weekend hours.
