Job Description APPLICANTS MUST BE PERMANENT IN THE CLERICAL ASSOCIATE CIVIL SERVICE TITLE, BE PERMANENT IN A COMPARABLE TITLE ELIGIBLE FOR 6.1.9 TITLE CHANGE. OR BE IMMEDIATELY REACHABLE ON EXAM NO.1190. Family Independence Administration's provides temporary help to individuals and families with social service and economic needs to assist them in reaching self-sufficiency via essential and diverse programs/services, such as: temporary cash assistance, SNAP, childcare, eviction prevention services, adult protective services, job training, employment plans/support, domestic violence assistance, child support enforcement, etc. Under the direct supervision of the Case Management Supervisor and with some latitude for independent judgment, performs clerical work in relation to records, files, and reports, furnishing information and preparing reports. The Clerical Associate II’s will function as Unit Clerks within the Customer Service Information Center (CSIC) and the Front Door Reception (FDR) Unit in the Model Offices. FIA’s Model Office is recruiting for two (2) Clerical Associate II’s to function as Unit Clerks, who will: - Register eligible applicants in the Welfare Management System (WMS) via data entry, and creates a formal record utilized to determine the applicants’ current and future needs. Prepares various computer transactions and inquiries on public assistance cases. - Maintain quality control case files and a tracking system by assigning identification and tracking numbers to all cases to ensure timely submission of reports and follows up on case actions as required. Perform inquiries on computerized tracking system. - Assist the unit with adherence to deadlines by compiling information, records, and documents. Review case records and determines appropriate action by analyzing relevant data. - Prepare case folders by assembling documents for placement in files. Prepare case folders for assignment to other workers and for imaging. - Maintain unit filing system and searches for files at request of unit staff. Forwards reports and correspondence to appropriate persons and other locations. Assists in the disposal of confidential materials and in the preparation of statistical reports. - Answer telephone takes messages and refers and transfer calls to appropriate person that can assist with requested service. - Maintain a control of the unit’s procedures, informational, and operational handbooks, continually updating and providing copies for appropriate staff. - Maintain necessary office supplies and assists the unit with the requisition of needed inventory. - Perform routine typing, photocopying, and collating duties. Work Location(s): St. Nicholas 132 – 140 W 125th St., NY, NY Dekalb, 275 Bergen St. Brooklyn, NY Hours/Schedule: 9:00-5:00 Qualifications Qualification Requirements A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience. Skills Requirement Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
