Job Overview:
Trinitas Emergency Department is one of the busiest in the state with more than 73,000 emergency visits annually. Our newly renovated Emergency Room has a total of 45 treatment rooms with separate treatment areas for families, children and seniors. As the Unit Secretary you will attend the nursing station and perform clerical duties, reception duties, and requisition supplies, equipment and services as directed.

Utilizes the computer, printer, fax machine, and other supplies in a manner that achieves high productivity, cost effectiveness, and waste reductionProcesses patient charges appropriate to the unitAssists with the maintenance and care of equipment and suppliesInitiates maintenance requisitions for the necessary repairs on the unitPromotes a compassionate, supportive, and therapeutic environment for the patients, families, and co-workersArranges follow-up appointments as ordered by the physician.Calls other units for readiness of bed prior to patient transferArranges transportation of patient to other health care facilities in collaboration with the Charge Nurse / Nurse ManagerEnsures that all necessary paperwork is completed, copied, and transferred with the patientDemonstrates the ability to use the clinical information system with minimal assistanceDemonstrates knowledge of the hospital s accepted abbreviations and medical terminologyAccurately transcribes orders from the physician order form to the Clinical Information SystemFiles computerized printouts of transcribed orders for RN verificationSigns off orders upon completion of all transcriptionsNotifies the Registered Nurse to verify the accuracy of all transcriptionsDemonstrates communication skills appropriate to ageIdentifies STAT orders as a priority and transcribes immediately.Notifies Registered Nurse of STAT ordersCalls consultations as per physician s orders if not done so already by the physician.Maintains knowledge of the use of forms and paper requisitions in case of computer downtime.Management of Information - Prepares patient s charts using all necessary formsFiles admission, discharge, and transfer medical records in correct sequencePerforms the clerical activities associated with the admission, discharge, and transfer of patients, including copying medical records when the Medical Records Department is closedEnsures that all forms in patient s medical record are labeled with the correct patient identification. Adds new forms and additional sheets to patient medical records as neededFiles diagnostic results and patient record reports on a timely basis, removing duplicate copies. Makes necessary entries in the computer/written logs per unit specificationReview discharge patient records for completeness and communicates deficiencies to Charge Nurse/Nurse ManagerPlaces completed discharge chart in appropriate area for messenger pick-upCommunicates all messages received in the absence of requested personnelActs as a resource person for computer order entryPerforms other duties as requestedActs as a resource person for computer order entryPerforms other duties as requestedChoosing RWJBarnabas Health!
