Job Overview:

Performs a variety of scheduling and secretarial duties for assigned unit, and other duties as assigned by management.

Qualifications:

Required:

Minimum of two years experience as a Unit Secretary

Preferred:

Experience with various computer word processing software packages,Accuracy and speed in typingKnowledge of rules of spelling, grammar and punctuationGood organizational skills and ability to work independentlyGood verbal and written English communication skillsAbility to maintain confidentiality of informationA knowledge of related medical terminology

Essential Functions:

Adheres to departmental quality standards for scheduling appointments and interacting with residents and families either in person or via the telephoneSchedules appropriate appointments based on reason for referral and intake informationObtains accurate clinical information in order to make a sound judgment as to which services are required for the appointmentObtains intake information, including demographics, insurance information, referrals, and scripts timely and accuratelyInteracts with both internal and external customers adhering to the Service Excellence StandardsObtain pre authorization from insurance company and schedule patient transportationAssist with staff scheduling and payroll in collaboration with the manager Coordinate, implement, and administer Ansos Web Scheduler for all inpatient clinical staff Maintain electronic medical record EMR downtimepaperworkUpdate safety data sheet SDS manual annually and as needed Answer telephone, screen calls, take messages and provide information according to established policiesDeal discreetly with sensitive, confidential informationTranscribe dictation, type correspondence, memos, reports, minutes, etc,Proof typed materials, make corrections and recommend changesCopy and or fax as necessaryHandle incoming and outgoing mail: open, sort and prioritizeAnswer routine inquiresFacilitates scheduling of inpatients to outside referring facilities and inpatient Ambulatory CareAssist in setting up office systemsMaintain files and established departmental and hospital policies and proceduresOrder and maintain supplies and equipmentTrains and orients new staff in specific clerical duties and acts as role model for other Unit SecretariesAssists in the development and implementation of selected forms and procedures for Nursing DepartmentResponsible for staff scheduling and payroll in time and attendance system in collaboration with the Manager
