Primary Purpose of the Organizational Unit The UNC Greensboro University Libraries is seeking a Facilities and Coordinator Manager to serve as a supervisor and project manager for the libraries’ facilities and building needs. This position will have primary responsibility for the planning and management of the day-to-day operation of the libraries’ facilities, including the library mailroom. The person in this position will also work with the Administrative Office staff and the Department Heads to coordinate to make sure materials are moved to the right spaces throughout the libraries.

Position Summary The University Libraries advance and support learning, research, and service at the University of North Carolina at Greensboro and throughout North Carolina. This position reports to the Dean of the University Libraries’ and works with the Access Services Department to connect patrons with library collections, spaces, and technologies. The assortment of services is provided to UNCG students, faculty, staff, and community patrons all hours the library is open (101 hours per week).

The Facilities Coordination Manager exercises an elevated level of leadership, judgement and decision making to plan, direct, coordinate, and perform services related to the University Libraries’ facilities including remote locations and storage. This position is the contact point for coordination of effort for building renovations, furniture and equipment purchasing, service vendors, and campus partners and works to ensure a safe and productive environment for staff, faculty, and students. It provides feedback on contractual, and service performance issues, supervises the Facilities team, and serves on the Access Services Department management team.

Minimum Qualifications ALA-Accredited Master of Library Science degree with 2-4 years of related experience. Additional Required Certifications, Licensures, and Certificates Preferred Qualifications Previous experience with managing a building renovation. Previous experience in a building manager/coordinator role.

Percentage Of Time 40 Key Responsibility Coordinator of effort for Facilities, Design and Construction project managers, designers, and Facilities Operations personnel and other vendors regarding building renovations, improvements, maintenance, and repairs. Essential Tasks Inspects the building daily for security, safety, housekeeping, and maintenance issues. Consults with the appropriate Department Head and Dean concerning decision making about building issues, furniture needs, and potential security and safety risks. Manages the library mailroom and loading dock area for proper space utilization and works with mail services to ensure library mail services function properly. Monitors daily housekeeping functions. Communicates with housekeeping staff on issues. Works with housekeeping zone supervisor and head of housekeeping services to initiate projects and changes inside the building. Coordinates fire and safety inspections with Facilities Operations for the building’s annual walk-through. Consults with Safety Office to maintain a safe learning and working environment. Maintains a working relationship with campus surplus warehouse personnel and outside vendors for pick up and drop services. Coordinates with library technology partners including NetCom, Johnson Controls and 6-TECH as needed on wiring and camera work and issues. Resolves issues and ensures services are not interrupted. Provides support and working knowledge for library events programmed by faculty and staff within the organization. Works with various library personnel to keep library image up to date with current branding. Creates and/or collaborates with others to design signage, orders and installs. Performs and coordinates repairs with Facilities Operations as needed. Percentage Of Time 30 Key Responsibility Supervision of SHRA employees, SHRA Temp employees and student employees. Essential Tasks Coordinates and directs activities of staff assigned to the Facilities and Materials Team. Establishes a working climate conducive to effective service and competent staff morale. This position will establish effective and efficient policies, procedures, and workflows for the unit. Coordinates work of the Facilities Team with that of other departmental and library teams, campus partners, and external vendors. May serve on search committees for other employees. Plans and coordinates new employees initial and ongoing in-depth training in functional areas. Designs training materials. Encourages training opportunities and interactions that ensure that staff will be well trained, professional, courteous, and current with library technology and trends. Encourages participation in development opportunities and assists employees in seeking and utilizing opportunities. Evaluates the performance of Stacks Operations staff following University and Library policies, procedures, and schedules. Recommend changes to staffing levels. Ensures that all University, library, and departmental policies are followed and that deadlines are met. Maintains all records, electronic and print, in a manner that ensures confidentially of records and in accordance with retention guidelines. Percentage Of Time 30 Key Responsibility Administrative role Essential Tasks This position will serve as the building contact person across campus and to multiple outside partners including Space Utilization and Planning and Facilities Design and Construction to help guide the libraries through the renovation project that is set to begin in December of 2024. They will also coordinate with the Fixed Assets department for the annual walkthrough of fixed asset equipment and work directly with the Fixed Asset department to evaluate new equipment as purchased. This position will also process e-disposal forms as needed. This position will order supplies from various vendors using PCard/Chrome River, and key in Purchase Orders from quotes in eMarketplace; checks the orders when they come in and then receives them in eMarketplace and maintains order records. Routes incoming supplies appropriately; labels equipment for public use. Reconciles PCard charges in Chrome River every month. Prepares Banner Expenditure Forms from invoice and receipts for payment. Prepares Interdepartmental Invoices for on-campus departments. Manage library keys available to borrow at the circulation desk.
