Upscale Process Coordinator

The Upscale Architecture & Design Department is the team that supports, oversees, and guides the architecture & design process for franchisees. As a key member of the team, you will lead the processes around project intake, project allocation, reporting and document management. Your Responsibilities + Project Intake + When new deals execute, assign projects to key project team members based on project assignment process. + Maintain external architectural and interior design submission portal. + Review new architecture and interior design submittals for meeting minimum requirements, then assign the review to assigned design managers. + Create a weekly tracking of all design submittals, following up with external and internal partners to drive a consistent and enhanced turnaround all on design submittals. + Provide reports to support monthly compliance committee. + Collaborate and coordinate all inputs prior to monthly reporting with assigned project design manager to ensure alignment on recommendation. + Documentation Management + Maintain external document sharing portals for both pre-execution and signed projects, ensuring proper parties are receiving the correct documentation. + Oversee NDA documentation for pre-execution projects. + Maintain documents for consultants’ workflows. + Administrative + Maintain required budget and expense report standards while focusing on fiscal responsibility and balanced travel as needed. + Support administrative tasks required of the Architecture and Design team as it relates to process, information sharing and broader collaboration with the team. Your Experience, Skills & Competencies + Bachelor’s Degree from a four-year college or university or a relevant field of study required. + Strong communications skills in customer service and problem solving, and the ability to collaborate with internal and external stakeholders. + Strong track record of success in driving execution and delivering business results. + Strong objective decision- making, priority and time management skills. + Strong ability to be flexible and able to thrive in a fast-paced environment with changing priorities. + Excellent written communication skills with the ability to influence and collaborate with leaders across organizational lines as well as stakeholder groups including small and large group settings, both internal and external. + Excellent analytical and forecasting skills combined with an ability to leverage data and create a foundation of data-supported decision making as well as continuous process improvements. + Advanced use of Microsoft suite including Outlook, Word, Excel, and PowerPoint as well as Smartsheet. Your Team This is an individual contributor role that will report to the Director, Upscale Architecture and Design. You will have 6 peer teammates and collaborate with cross functional departments on a regular basis. Your Work Location As our Upscale Process Coordinator, you will be based in our beautiful, state-of-the-art worldwide corporate headquarters in North Bethesda, MD.
