Position Summary: The Urban Forestry Division is seeking a highly organized and detail-oriented Administrative Lead to manage financial analysis a nd admi nistration, oversee division processes , and provide support to the City Forester’s Office and the Urban Forestry Commission. What you'll get to do: + Monitor and report on financial performance, including quality control and recurrent updates. + Maintain relationships with cost center managers to ensure accountability and accurate financial reporting. + Act as the division liaison with Service Area/Vibrant Communities Finance for budget development and external reporting. + Support the development of urban forest management budgets and strategies. + Research and track financial plans affecting urban forest infrastructure. + Identify funding needs and develop requests for new funds while evaluating grant opportunities. + Track position management and team composition, ensuring effective resource allocation. + Draft and maintain internal division systems, standard operating procedures, and policies. + Coordinate with the bureau and serve as the administrative liaison for the division. + Organize division meetings, events, and communications to ensure team cohesion and engagement. + Prepare for and manage space reservations and virtual meeting platforms. + Compile minutes and maintain information such as websites. + Ensure compliance with public meeting laws and recruitment processes. + Manage procurement, contracting, billing, and timekeeping processes. + Provide scheduling and event support, including meeting preparation and follow-up. + Assist in staff recruitment, performance management, and onboarding processes. + Create and distribute division communications, reports, and presentations.
