Site Name: UAE - Dubai Posted Date: Jan 2 2025 As a Vaccine Customer Service & Logistics Executive, you will manage and support Vx operations in the Gulf Market, ensuring the efficient distribution and logistics of vaccines, and to oversee the end-to-end vaccine business for the MMW in UAE serving all Gulf markets. This role will provide YOU the opportunity to lead key activities to progress YOUR career, these responsibilities include some of the following: Key Responsibilities: Core Commercial Cycle (CCC) Contribution: Actively participate in the Core Commercial Cycle (CCC) meetings (OTF , Pre-DRM and DRM ) to align supply chain activities with commercial strategies. Provide updates on supply chain performance, potential risks, and mitigation plans during CCC meetings. Collaborate with commercial teams to ensure alignment between supply chain operations and market demands. Support the implementation of commercial strategies by ensuring timely and efficient distribution of vaccines. Contribute to the development and execution of action plans to address any supply chain challenges identified during CCC meetings. Order Management and Monitoring: Weekly monitoring of order status for all Gulf markets from order raising to supply, ensuring adherence to timelines and addressing any discrepancies. Highlight and report any delays in batch allocation, packaging, and release processes to the Vx Market Supply Chain team promptly. Escalate significant delays or Year-To-Go (YTG) supply risks to the regional team and Vx Business Unit Director (BUD) to mitigate potential impacts. Order Raising and Coordination: Accurately raise and confirm trade and tender orders during the Market Operating Committee (MOC) week. Ensure tender order quotation has been raised and Purchase Order (PO)/ provisional order received, coordinating with Bio supply teams for any phasing information if requested before PO sign-off. Ensure all orders are aligned with market forecasts and business requirements. And coordinate with suppl team. Regulatory Coordination: Liaise with Regulatory teams on SKU readiness and any special permits needed for supply. Follow-up on the timely completion of all documents/permits to ensure no delays or risks to shipments, maintaining compliance with local regulations. Distributor Alignment and Communication: Share necessary documentation for the import of Vx shipments with all local distributors. Follow-up on trade order raising as per the in-market forecast. Track import permit receipts and plan shipments in coordination with Distributors. Maintain regular communication with Distributors to ensure smooth operations and address any issues promptly. Track and Trace: Implement and manage track and trace systems to monitor the movement of vaccines throughout the supply chain. Ensure real-time visibility of vaccine shipments, from production to delivery, to enhance supply chain transparency and efficiency. Collaborate with logistics partners and distributors to integrate track and trace technologies and processes. Ensure compliance with regulatory requirements related to track and trace systems and maintain accurate records for audit purposes. Coordination with Vaccine regional distribution team : Coordinate with the Vaccine Distribution Planner (VDP) to share required pick-up dates of orders for shipment planning. Request necessary documents for Distributors to proceed with customs clearance and other processes. Follow-up on Air Waybills (AWBs) and other Distributor requests to ensure timely delivery. Escalate issues such as warehouse space unavailability or Quality Assurance (QA) capacity delays to relevant stakeholders for resolution. Cold Chain Management: Ensure strict adherence to cold chain protocols to maintain vaccine efficacy during storage and transportation. Monitor and manage temperature-controlled logistics, ensuring that vaccines are stored and transported within the required temperature ranges. Coordinate with logistics partners and distributors to ensure proper handling and storage conditions are maintained throughout the supply chain. Implement and monitor temperature tracking systems to detect and address any deviations promptly. 3PL Management: Oversee third-party logistics (3PL) providers to ensure efficient and compliant distribution of vaccines. Negotiate and manage contracts with 3PL providers, ensuring service level agreements (SLAs) are met. Monitor 3PL performance through key performance indicators (KPIs) and regular reviews. Address any issues or discrepancies with 3PL providers to ensure timely and efficient delivery of vaccines. Warehouse Management: Ensure that warehouse operations are carried out efficiently and in compliance with GSK standards and local regulations. Oversee inventory management, ensuring accurate stock levels and timely replenishment. Implement warehouse best practices to optimize space utilization and improve operational efficiency. Conduct regular audits to ensure the integrity and security of the inventory. Coordinate with warehouse staff and 3PL providers to ensure proper handling, storage, and dispatch of vaccines. Trade Compliance: Ensure compliance with all local and international trade regulations and policies. Stay updated on changes in trade laws and regulations that may affect the import and export of vaccines. Prepare and maintain accurate records and documentation required for customs clearance and trade compliance. Liaise with customs authorities and ensure timely resolution of any issues related to import/export activities. Implement and monitor compliance programs to ensure adherence to trade regulations and minimize risks. Invoicing and System Management: Maintain SKU codes in the system for order raising, ensuring all parameters are accurately maintained. Raise sales orders on SAP ECC and check on PO generation, ensuring alignment with business requirements. Follow-up with the IT team on order processing and resolve any system-related issues promptly. Ensure timely goods receipt, post invoiced volumes to accounting for sales recognition, and conduct month-end checks on invoiced values. Raise IT tickets and follow-up on system-related issues to ensure smooth operations. Monthly Reporting and Analysis: Conduct On Time In Full (OTIF) analysis and root cause investigations to identify and address any performance issues. Prepare and distribute invoice reports to relevant stakeholders, providing insights and recommendations for improvements. Continuous Improvement: Identify opportunities for process improvements within the supply chain and logistics operations. Collaborate with cross-functional teams to implement best practices and enhance operational efficiency. Stay updated with industry trends and regulatory changes to ensure compliance and optimize business performance. Why you? Basic Qualifications: We are looking for professionals with these required skills to achieve our goals: Bachelor’s degree in engineering, pharmaceutical sciences. Minimum of 5 years of experience. Proficiency in SAP ECC or similar ERP systems: Essential for order raising, invoicing, and tracking shipments. Strong Analytical Skills: Critical for monitoring order statuses, identifying delays, and conducting root cause analysis. Excellent Communication Skills: Necessary for effective liaison with various teams and escalating issues. Detail-Oriented: Required for ensuring accuracy in documentation and maintaining SKU codes. Ability to Manage Multiple Tasks and Prioritize: Essential for handling weekly and monthly responsibilities and meeting deadlines. Problem-Solving Skills: Important for addressing and resolving supply chain issues and system-related problems. Project Management Skills: Helpful for managing and supporting Vx operations and coordinating with multiple stakeholders. Knowledge of Cold Chain Management: To ensure the efficacy of vaccines through proper temperature-controlled logistics. Experience in 3PL Management: To oversee and manage third-party logistics providers effectively. Knowledge of Warehouse Management: To ensure efficient and compliant warehouse operations. Knowledge of Trade Compliance: To ensure adherence to local and international trade regulations. Experience in Logistics and Distribution: To manage and support Vx operations effectively. Familiarity with the Gulf Market: To understand market-specific requirements and challenges.
