Position: Vendor Onboarding Supervisor
Job Description:
The Vendor Onboarding Supervisor is responsible for managing and coordinating the process of onboarding new vendors to ensure smooth integration into the company’s operations. This position is responsible for ensuring timely and accurate communication with vendors, facilitating the collection of required documentation, and assisting in vendor setup and compliance to company standards.
Core Responsibilities & Duties:
+ Coordinate and manage the onboarding process and team for new vendors, including initiating communication and gathering necessary documents and agreements
+ Ensure the team’s timely and accurate setup of vendor accounts in internal systems
+ Serve as the primary point of contact for the Onboarding Team during the onboarding process, providing guidance and addressing any issues or concerns
+ Manage the collection, review, and verification of vendor documentation such as contracts, insurance certificates, tax forms, and other compliance-related documents
+ Collaborate with legal, procurement, and other departments to ensure all vendor agreements and documentation meet company standards and requirements
+ Drive improvements, standardization and automation in the vendor onboarding and maintenance process
+ Lead and manage the vendor 1099 process
+ Lead specific projects for vendor clean-up, master data improvements, and process redesign/optimization
+ Assist with the resolution of any issues that may arise during the vendor onboarding process, including discrepancies in documentation or delays
+ Ensure that all vendor accounts are compliant with company policies, legal requirements, and industry regulations
+ Provide ongoing support to vendors and the Onboarding team during the initial stages of their partnership with the company
+ Manage the integration of new vendors into relevant systems, including invoicing, payment processing, and communication platforms
+ Generate and maintain reports on vendor onboarding progress and completion status
+ Work with vendors to ensure that they understand and are aligned with the company’s operational procedures and expectations
+ Conduct training sessions or provide resources to new vendors and the Onboarding Team as needed
+ Other duties as assigned
Qualifications:
+ Minimum of 2 years of vendor management or onboarding experience
+ Bachelor’s degree in Business Administration, Supply Chain Management, or a related field, or equivalent experience
+ Strong proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word
+ Experience with vendor management software or systems is preferred
+ Familiarity with legal and compliance documentation requirements for vendor onboarding
+ Excellent organizational and multitasking abilities, with strong attention to detail
+ Strong communication skills, both oral and written, to effectively collaborate with internal teams and vendors
+ Ability to work independently, prioritize tasks, and meet deadlines
+ Ability to maintain confidentiality and manage sensitive information
+ Problem-solving skills and the ability to think critically when addressing challenges
+ Experience in a fast-paced, dynamic environment is a plus
