THE ROLE

Vibee is seeking a highly motivated and proactive Group Sales Specialist.  This position will specialize in managing group rooming lists with tasks to include - building, auditing for accuracy, submission and management, delegate review, and reconciliation of hotel rooming lists for guest reservations booked through Vibee’s proprietary platform. The Group Sales Specialist will serve to support the aggregation of data points and financial reports, managing accounts payables and receivables for the department, amongst other related tasks. As a member of the Property Partnerships team, this role will also play an important part in managing hotel and venue relationships with hotel operations on a global scale and building/managing a team for onsite operations for check-in/out days where you will also be required to be. This position is hybrid in office, work from home and on site at various event locations. This position must be based in Las Vegas, NV.

RESPONSIBILITIES

Create and updating internal financial reporting documentsWork with Property Partnerships team to create rooming lists and manage delegate listsAudit rooming lists for accuracy and reconciliations Identify and address discrepancies, and be responsible for the resolution of variances Support internal teams with invoice processing, accounts payable and receivableResponsible for on-site check-in/out operations which will include working with internal departments to source, schedule and manage a team. You will be required to be on-property as well. Work with Elevated Experience team to facilitate event advances and logisticsAssist in the preparation of monthly, quarterly and annual reports, including financialUndertake other related duties as requested by Vice President of Property PartnershipsDelegate tasks to team members via the internal project management system (Asana) in coordination with the related department; updates stakeholders and team members to ensure projects are running smoothly and risks are mitigatedAssist with maintaining day-to-day flow of projects, document changes, and revisions to projects as requiredProvide general administrative support and perform diversified administration dutiesDuring busy event times, duties will expandResponsible for analyzing group room pick-up, attrition terms, cut-off dates and communicating this information to leadership in a professional and courteous manner

QUALIFICATIONS

3-5 years of experience organizing and managing data within spreadsheets Must possess moderate to advanced skills in the following programs and software, including, but not limited to, Microsoft Office Applications (Word, Excel, Outlook) Google Applications (Sheets, Slides), Box, Internet search and multi-property management systems (certification in Excel would be considered an asset)Understanding of financial and accounting standardsExcellent written, verbal, and presentation skills; able to communicate effectively with employees at all levelsCritical thinking skills with a creative approach to problem solvingDemonstrated ability to work independently and adapt to changes in a rapidly evolving environmentStrong ability to manage many projects simultaneouslyFlexible and reliable team player both with the department and within the organization as a wholeMust be an active problem solver, instilled with a sense of urgency for projects large and small

WORK ENVIRONMENT

Must be able to tolerate loud noise levels & busy environments on site at our eventsMay sit for extended periods of time and work in drastic temperature climates onsite at our eventsMust be willing to work during evening and weekend hours, as required, to meet deadlines Must be willing to travel as required both domestically and abroad, if requiredMust have a current passport and be able to travel worldwide without restriction

Hiring Salary Range: $50,000.00 - $70,000.00 USD
