VIP Nation Event Manager – Festivals & Touring UK

Role Description

Working within VIP Nation, Live Nation Entertainment’s VIP Experiences business, and reporting to the Senior Event Manager, you will be responsible for the advancement and delivery of VIP packages on our UK festivals and domestic tours. The range of experiences we offer is extensive, from boutique campsites to guest areas, early entry and meet & greets. The list goes on and we want you to help add to it.

Extended periods working away from home will be required particularly between May and September. In between, this is an office-based role with some flexible / home working a possibility. Whilst you need to ensure the customer receives the product(s) advertised in full, on time and within budget you will also liaise with venues, suppliers, internal stakeholders and on occasion customers. Be prepared to recruit and manage teams of staff and suppliers on site as well as using the creative side of your brain for our bespoke activations.

Competencies / Skills / Knowledge / Experience

Full driving license is essentialExperience in using Auto Cad software is a distinct advantageThe ability to physically mark out from site plansExperience in working at festivals with an understanding of the long hours and unpredictable weatherBasic understanding of Health and Safety requirements, including risk assessments and a familiarity with Event Management PlansPrevious experience in managing teamsExcellent verbal communication skillsProficiency in Microsoft applications especially Excel, and Word is essential.Experienced in the fulfilment of VIP events, preferably to individual consumers rather than a corporate entity.The candidate should be able to demonstrate writing and delivering briefings to an appropriate standard.Basic knowledge of food hygiene and alcohol licensing regulations would be an advantage.Excellent command of written English.Previous experience in an admin heavy role is desirable.First aid training and or any plant licences is desirable but not essential

What the role includes

Pre-Event Fulfilment

Project management of specific festivals and domestic tours as designated by your line managerYou will ensure all goods and services are negotiated booked and confirmed as required per project with sustainability at the forefront of your thinkingUndertake site visits as neededPrepare and have approved all event site plans using Auto Cad (or similar) softwareProactively keep up to date with new services and goods entering the market.Using Salesforce; create purchase orders to confirm goods, equipment, and staffingOn occasion actively source and recruit casual staff for eventsAgree and compile detailed production schedules and timings for letters/emails and itineraries.Co-ordinate logistical arrangements, liaising with relevant parties to ensure travel, equipment, goods and build and break schedules are adhered toCreate any risk assessments, H&S documents and Event Management Plans as requiredSource and deliver any creative elements associated with the projectMonitor sales and adjust accordinglyWork closely and communicate regularly with the Event Accountant so they are aware of all costs and changes prior to settlement.Monitor and agree staffing levels as per the project.Compile and distribute briefing packs.

Event Fulfilment

You will need to be there and lead your team from the front!This will include managing your staff and contractors to ensure the build or tour requirements go to planWhen it doesn’t you are onsite to react and adapt to situations outside of your controlAt festivals you’ll be marking the site out as per your plansMonitor all services, contractors and infrastructure to make sure goods are provided within set budgets and to agreed service levels.Comply with LN agreed policies and procedures including Health & Safety policies, to ensure that all appointed agents comply with all relevant legislation.Ensure all event-day staff training and briefing is carried out.Deal with any event day customer issues that local Event Managers or Reps are unable to resolve.Post event, liaise with the rest of the team, reporting on customer feedback/complaints and opportunities for improvements.
