Position classification Onsite -- Job duties and expectations require employee to be regularly scheduled onsite. + Description + Benefits + Questions What Success Looks Like In This Job Adams County Health Department (https://adamscountyhealthdepartment.org/) (ACHD) is a newly formed organization as of 1/1/2023 and a part of Adams County Government. As of 6/1/2023 it is composed of 6 divisions (Performance and Business Excellence, Health Equity and Strategic Initiatives, Epidemiology and Data Science, Nursing, Environmental Health, Nutrition and Family Health), 200 staff, and has an annual budget of roughly 30M. Hours, Location, Travel: + Hours: Typical work hours are 8am – 5pm but may vary based on the needs of the organization. + Location: This position is based out of the South Platte Crossing office in Commerce City, CO. + Travel: The incumbent of this position should expect to travel up to 0-10% of the time between Adams County sites and other locations. Primary Responsibilities for Success Performs general and routine administrative and customer assistance duties including forms processing, data entry, cash balancing, and record keeping related to the registration and issuance of birth and death records, home births and the issuance of burial permits within the Adams County Public Health Department. Examples of Duties for Success + Performs all duties and activities related to the processing and issuance of certified copies of birth/death certificates, fetal death certificates and records, pursuant to laws, regulations, and standards set by the Colorado State Registrar. + This position will be required for the oversight of the intake, quality assurance and registration of Adams County home births and fetal death certificates enforcing of the State laws, regulations and policies. + Examine certificates and records for accuracy and completeness and make corrections or resolve discrepancies, if possible. + Responds to requests for birth and death certificates and disposition permits via the email, telephone, mail, fax and in person. + Accesses on-line CDPHE vital statistics records; verify qualifications of recipient. + Issues permits to funeral homes and mortuaries for disposition (burial, cremation, etc.) + Manage and balance cash transactions associated with the issuance of records. By assuring appropriate fees are collected, receipts are issued, and daily reports are run and reconciled as appropriate. + Performs routine clerical duties related to the issuance and processing of certificates and permits such as answering phones, emails, typing, searching files, filing, data entry, and record keeping. + Maintain statistical records and quality assurance of transactions. + Maintains and updates forms and records as needed, prepares reports and tracking information. + Completes trainings identified as appropriate for this level employee. Emergency Preparedness Duties + Employee responds, as required, to support public health emergencies, incidents and events. Employee participates in all exercises and drills on emergency preparedness, as required. Complete training identified as appropriate for this level of employee Additional Duties + Maintain sensitive and confidential client information according to HIPAA policy. + Performs other duties as assigned and required. Qualifications for Success + Modern office practices and procedures. + Operation of standard office equipment including fax machines, copiers, and computers. + Basic mathematical calculations. + Establish and maintain effective working relationships with other Adams County Health Department employees, representatives of other agencies and organizations, and members of the community. + Effectively communicate verbally and in writing to exchange general information and follow written or verbal instructions. + Acquire and retain knowledge of policies, procedures, and CDPHE regulations related to vital statistics. + Organize and prioritize work and complete assignments in an accurate and timely manner. More Qualifications for Success Education: + Requires graduation from high school or equivalent to the completion of the twelfth grade. Experience: + At least two years of general office or customer service experience required. + Ability to speak Spanish preferred License/Certifications: + Certification as a Deputy Registrar through the Colorado Department of Public Health and Environment (CDPHE) within six months. + Complete 8 hours of annual training through CDPHE. + Must possess Colorado Driver’s License with proof upon hiring. Following all policies and procedures set forth by Adams County Health Department. Other Qualifications: + Must pass criminal background check. + Must pass pre-employment test through Test Gorilla service.
