Sourcing and purchasing of parts and materials for service work orders and jobs Perform tasks related to purchase orders, receiving, and returns. Communicating with vendors via phone or e-mail to place orders and track status. Complete paperwork neatly and within a 24 hour timeframe follow up to the appropriate people to ensure flow across all departments. As a member of the parts team, participate in the cross-training of the parts department tasks and duties to ensure all responsibilities are adequately covered. Be able to demonstrate proficiency in safe handling and operation of a forklift. Competent to assist with receiving small parcel deliveries and occasional trucks. Assist service and sales department in quotes, part locations, and factory service information. Assist in inventory control. Ensure inventory leaving stockroom has proper paperwork. The parts buyer is responsible for completing any other task that may be assigned or requested by the Parts Supervisor or the Purchasing Manager. Qualifications Education, Experience and Licensure High school diploma or general education degree (GED) One year of related experience is preferred. A valid Pennsylvania driver’s license and personal driving record acceptable as required by company’s vehicle insurance policy in order to drive and operate a company vehicle. Skills, Knowledge, and Abilities Must have working knowledge of applicable computer software, including Microsoft Office and Windows. Ability to operate office equipment, such as fax, calculator, printer, telephone, and other communication tools. Must be knowledgeable of and familiar with refrigeration, heating, air conditioning, ventilation, and electrical terminology. Knowledge of purchasing and price negotiations. Must exhibit a consistent level of customer service skills and abilities in all interactions with customers. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fraction, and decimals. Ability to solve practical problems and deal with numerous variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. This position requires flexibility, strong communication skills, and the ability to prioritize and make decisions. Language Skills Skilled communicator with the ability to communicate effectively on the phone and to take accurate parts orders. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to groups of customers or employees of the organization. Ability to interpret reports such as inventory reports.
