KEY RESPONSIBILITIES:

Human Experience:

Act as the primary point of contact for employees regarding workplace-related inquiries and needs.Create a welcoming atmosphere by maintaining a clean, organized, and aesthetically pleasing workspace.Organize and support employee engagement initiatives, events, and wellness programs.

Operational Support:

Coordinate workplace services, including office supplies, food and beverage services, and maintenance.Oversee workspace allocation, meeting rooms booking systems, and shared spaces to ensure optimal utilization.Collaborate with IT and facilities technical teams to address and resolve workplace issues promptly.Conduct inspections of all facilities within the premises and report rectifications needed promptlySupport soft services operations to ensure optimum user satisfaction is achievedRelief Reception Desk during break times and when necessary.

Communication & Liaison:

Serve as a bridge between employees and key operational teams (e.g., HR, Facilities, IT).Gather and communicate employee feedback to improve workplace policies and practices.Provide regular updates to management on workplace-related concerns and initiatives.

Health & Safety:

Ensure compliance with workplace health and safety standards.Support emergency preparedness initiatives and act as a point of contact during emergencies.

Administrative Tasks:

Assist with visitor management, including check-ins and creating a positive experience.Monitor and track workplace budgets and inventory.Maintain accurate records related to workplace services and employee feedback.Respond, update and submit all documents, trackers, reports etc promptly without exceeding the due dates.

QUALIFICATIONS & SKILLS:

Education:

‘N’ Level, ‘O’ Level or Diploma in Workplace Management

Experience:

1-3 years of experience in office management, facilities coordination or employee engagement roles.Prior experience in customer service or hospitality is a plus.

Key Skills:

Excellent communication and interpersonal skills.Strong organizational and problem-solving abilities.Ability to multitask and prioritize in a fast-paced environment.Proficiency in workplace management tools and office software

Positive and approachable demeanour.Strong sense of accountability and ownership.Team-oriented mindset with a focus on collaboration.Attention to detail and a proactive approach to addressing challenges.

Punctuality & Attendance

Ensure timeliness in reporting to work.

Avoid overlapping absence.

As a Workplace Ambassador, you will be the face of Facilities Management and our point of communication with users.  You are required to discharge your duty responsibly, diligently, efficiently and with a service mindset attitude.  You will also possess a good sense of urgency, be an excellent team player and can excel in communication and people relationship.
