Workplace Coordinator

Job Summary

Provide general overall Facilities Management services including continuous monitoring of facility and creating a best-in-class workplace experience. Work with facility manager(s) to handle routine facility management operations, including procurement of supplies and services, assigning work orders within CMMS, issuing purchase orders, managing bid requests and service/construction contracts, asset/equipment tracking/disposal, and processing of accounts payable and accounts receivable.  Supporting tasks for site events to ensure any assigned tasks for the group or our sub-contractors are completed.

Area of Responsibility

Administrative FunctionAssist Facility Management Team with tactical planning for the team’s goals and objectives and completion of day to day workloadProvide facility specific assistance to the project management team as needed or requestedManage and maintain small facility management tasks as assignedCoordinate/support special events in support of client or JLLProvide support for meetings and conference room reservations as needed and directedAssist with the coordination and scheduling of maintenance activitiesCommunication and Relationship CoordinationProvide general overall facility management services including continuous monitoring of office/facilityAct as an interface with client, visitors and guestsEnsure appropriate follow up with customersProvide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimalComplianceProperly and effectively administer and maintain all security systemsAssist with budgetary requests, analysis and reporting Assist with researching, analyzing and reporting budget variances

Additional Responsibilities Include: 

Track all visitors, including vendors, visiting employees and guests Manage parking and vehicle logs and records Coordinate security access cards for employees and vendors Welcome event guests and assist with printing visitor badges Assist with tracking employee on-boarding/off-boarding processes Manage incoming and outgoing courier and other packages or mail as required Support the annual management plan by accomplishing key performance indicators Perform ad hoc facilities assignments as needed 

Knowledge, Skills & Abilities

Education/trainingAssociates degree in facilities management, building, business or other related field; or equivalent work experienceYears of relevant experience2+ years’ experience with Facility or Property AdministrationSkills and knowledgeSuperior customer service skills and orientationAbility to maintain professionalism at all times under stressful situationsAbility to plan and manage work under time constraintsAbility to multitask and work without direct supervisionExperience working within Corrigo or other CMMS/Automated Work Order system.Proficient in MS Office, and possess strong written, verbal and people skillsStrong organizational skills and collaborative style Other abilitiesMust be proficient at Excel Spreadsheets and have capability of customizing administrative reports
