Our client is a leading consulting firm known for its expertise in consulting services. The firm fosters a collaborative and dynamic work environment, and they are looking for a dedicated and organized Workplace Coordinator to ensure a smooth, productive, and positive office environment.
Job Description:
+ Office Management: Oversee the general maintenance of the office space, ensuring it is clean, well-organized, and conducive to a productive work environment.
+ Facilities Coordination: Manage office supplies, equipment, and inventory; liaise with vendors and building management to address any facility-related issues.
+ Meeting & Event Coordination: Assist in the scheduling and logistics for internal meetings, client events, and team activities. Ensure that meeting rooms are properly set up and all necessary technology (AV equipment, conference calls) is functioning.
+ Employee Support: Act as a point of contact for staff, addressing office-related concerns and ensuring a smooth, comfortable work experience. Assist with on-boarding new employees and providing them with office orientation.
+ Health & Safety Compliance: Ensure that the workplace adheres to health and safety regulations and company protocols. Monitor and manage office safety procedures, including emergency preparedness.
+ Visitor Management: Greet clients, visitors, and vendors in a professional and friendly manner, ensuring a positive experience upon arrival.
+ Administrative Support: Provide administrative assistance, such as managing office calendars, assisting with correspondence, and coordinating office-wide communications.
+ Collaboration with Teams: Work closely with the HR, Operations, and IT teams to ensure that office operations align with the firm’s broader objectives and policies.
+ Travel and Logistics: Support in booking travel accommodations and transportation for staff and clients when needed.

Requirements
Qualifications:
+ 2+ years of experience in office management or administrative support, preferably in a professional services or consulting environment.
+ Strong organizational and multitasking skills with the ability to manage multiple priorities in a fast-paced environment.
+ Excellent verbal and written communication skills, with a client-service oriented approach.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office technology and equipment.
+ Strong attention to detail and a proactive, solution-oriented mindset.
+ Ability to work independently, take initiative, and collaborate with diverse teams.
