Description We are seeking a Workplace Experience Coordinator based in South Jordan, Utah. In this role, you will be tasked with coordinating workplace experience services, providing administrative support to teams, and ensuring a smooth operation of various office functions. This position offers a long term contract employment opportunity in the Facilities Management industry.
Responsibilities:
• Coordinate and support the delivery of workplace experience services, collaborating with both internal teams and third-party service providers.
• Manage reception duties, including greeting visitors, setting up pantries and conference rooms, creating badges, and maintaining visitor lists.
• Handle work orders and building maintenance requests, ensuring a conducive workplace for all employees.
• Oversee services such as Concierge, Reception/Meeting Room Management, A/V Support, Meeting Event Management, Community Programs, Workplace Coaching, Onboarding, and Food Services.
• Provide administrative support to the Workplace Experience leadership team, including invoice processing, travel arrangements, and expense reporting.
• Request building and/or equipment services as needed to maintain a comfortable and efficient working environment.
• Maintain accurate production quality and retention of program materials, possibly administering SharePoint sites or similar digital tools.
• Ensure compliance of client and company materials with respective brand guidelines.
• Utilize and maintain integrity of databases and other digital tools associated with service delivery.
• Manage customer requests and complaints regarding Workplace Experience services, providing timely and effective solutions.
• Attend move meetings and coordinate all moves with client contacts. Requirements • Possess strong skills in Customer Service and Communication.
• Proficient in Office Functions and familiar with Microsoft Office Suites, including Microsoft Excel, Microsoft Word, and Microsoft Outlook.
• Experience with Billing Functions, Materials Handling, and Quality assurance.
• Knowledge of Database management and Human Resources (HR) Administration.
• Must have knowledge of About Time software.
• Demonstrated Leadership Skills and familiarity with Hiring Processes.
• Experience in Production, Receptionist Duties, and Onboarding.
• Skilled in Digital technologies and Expense Reporting.
• Knowledge of Microsoft PowerPoint and Cloud Technologies.
• Ability to work in a collaborative environment.
• Experience in Facilities Management and handling Complaints.
• Ability to work in a fast-paced, demanding environment.
• Must have excellent problem-solving skills and the ability to multi-task.
• Excellent organizational skills and attention to detail.
• Strong written and verbal communication skills.
• Ability to work independently and as part of a team.
• Must have a proactive approach and the ability to work under pressure.
• Knowledge of HR laws and regulations.
• Must be able to maintain confidentiality and handle sensitive information with discretion.
