Workplace Experience Coordinator

Key responsibilities include but are not limited to:

-Maintain and update employee communications via email and slack/social media

-Facility walk throughs to ensure cleanliness and tidiness of office

-Maintain all conference rooms for cleanliness / reserve conference rooms, including ordering and/or setup

-Oversight of ServiceNow ticketing system for maintenance team

-Perform clerical or administrative duties as needed, such as: assisting with filing and database systems, attendance records and other related office support duties

-Coordinate the daily conference room schedule

-Order, maintain and organize all kitchen and office supplies

-Assist with the coordination and scheduling of office/building maintenance activities

-Update phone lists, photo organization charts, and seating plans

-Respond to basic client and general inquiries and escalate complex queries to the appropriate parties. Maintains a clean, organized and safe workspace

-Assist with onboarding new employees (setting up workstations, parking, building access, etc.)

-Assist with special events (client events, holiday events, team days, etc.)

-Participate in facility programs with an expectation to continue learning and grow as a professional.

-Greet/host/provide front desk support for all client guests, visitors, employees and direct all accordingly.

-Manage mail and couriers, including but not limited to preparing both domestic and international courier packages, coordinating pick-up and delivery, confirming delivery/receipt with appropriate stakeholders, and resolving any related issues in a timely manner

- Provide security badges for visitors and regular employees and perform daily/weekly audit

-Comply with all the policies and procedures of JLL and client Facility. All requests included but not limited to the overall success of JLL and their client.

Experience and Qualifications:

-1-3 years relevant experience supporting multiple people in a professional services organization

-Support a positive team environment with a friendly and can do attitude

-Build rapport and cooperative relationships with customers and visitors

-High level of proficiency and working knowledge of Outlook

-Work enthusiastically in a team atmosphere, promoting collaboration and idea sharing verbally and through action

-Ability to communicate effectively, both verbally and in writing

-Strong organizational, interpersonal and communication skills

-Strong ability to multi-task with multiple projects and deadlines in a high-volume fast paced environment

-Ability to manage time well and be self-motivated, without direct supervision

-Strong client service orientation; proactive working style and friendly, helpful attitude -Commitment to high professional ethical standards

- Provide superior client service (85% weighting)

-Contribute to the growth of the company (10% weighting)

-Enhance own professional and personal skills (5% weighting)

Estimated total compensation for this position:

43,680.00 – 49,920.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
