**Job Summary**
The Workplace Experience Coordinator role is at the forefront of delivering a positive office experience as a cultural ambassador, community advocate and service leader.
In this role, you would provide workplace services and support to increase individual well-being, personal productivity, and organizational effectiveness together with an understanding of Facility Management, Supplier management and health and safety but most importantly, Event Management. As part of the Workplace Experience team, the Workplace Experience Coordinator is responsible for creating a supportive and comfortable atmosphere by welcoming visitors and supporting all employee-facing services and management of the facilities and assets in a compliant and safe way.
**Essential Duties and Responsibilities**
Provides coordination and administrative support for delivery of the full range of Workplace Services. Services include, but are not limited to:
+ Support on all event management, meeting key stakeholders, coordinating and managing any suppliers relating to the events
+ Assists the Workplace Experience leadership team with general administrative support. Requests building and/or equipment services as needed.
+ Provides administrative support for Workplace Experience team as directed, including expense management, meeting coordination, office and workplace experience equipment care, and supply management.
+ Manages accuracy, production, quality and retention of program materials.
+ Ensures client and company materials comply with client and company brand guidelines.
+ Utilizes and maintains integrity of databases and other digital tools associated with service delivery, as requested.
+ Responds to customer requests and complaints regarding Workplace Experience services.
+ Oversee and coordinate the Help Desk
+ Ensure that all incoming calls are answered swiftly and professionally providing priority response
+ Allocation of jobs to Site Engineering Personnel, providing feedback to client as required
+ Collating and data entry of all timesheets, purchase orders and invoicing
+ Recording and tracking of all leave, sickness and overtime worked
+ Providing reports from the Management Information System as and when required for the client, Engineers and Commercial Manager
+ Use of Excel to provide data generated for monthly billing
+ Reconcile invoices to Purchase Orders involving supplier contact
+ Maintains relationships with vendors that provide services and goods to the office.
+ Administers Workplace Experience team member and third-party service provider on-boarding process, including new employee orientation, training, equipment and software ordering.
+ Assists in the completion of the office Business Continuity plan.
+ Manages information as it relates to Tools and Technology associated with Building Assets
+ Manages Health & Safety Inspections, incident reporting as it relates to the site and ensures compliance at all times
+ Performs other duties as assigned.
**Education and Experience**
+ Event or Hospitality Management, A minimum of 1 - 2 years related experience (e.g. Front Desk, Concierge, Hospitality, Room Management, or Customer Service roles) is preferred.
+ Facility management or office management experience is an advantage.
+ Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, Visio, SharePoint, OneNote, Outlook, etc.
+ Comfortable with and embracing of new technologies and digital tools; such as Apps, databases, financial management, work order management, social networking, cloud technologies, handheld mobile technologies and applications, and communications.
