About the Role
Job Summary
As a CBRE Workplace Experience Coordinator, you'll be responsible for delivering a world-class customer service experience to employees and guests of a designated building.
**Onsite PART TIME POSITION-**
**Mon, Wed, Thurs, and Fri- 9:30 am to 1:30 pm**
**Tuesday- 8:00 am to 5:00 pm**
**24 hours weekly**
What You’ll Do
Duties and Responsibilities
+ Completion of morning walkthroughs to ensure the space is ready for employees and visitors as well as monitoring for defects.
+ Responsible in reporting Stamford Building issues such as plumbing, electrical, lighting, kitchen equipment, air conditioning or refrigeration, drywall, paint, floor tiles and general maintenance or repairs to the CBRE Account Manager.
+ Enters visitor/repair/janitorial/vendor access request tickets into RFR management system.
+ Request COIs for all new and current vendors, enter in RFR system.
+ Update floorplans consistently to ensure they are current (new hires / terminations)
+ Supports badging for new hires/team members/visitors requiring access to Stamford.
+ Coordinate and execute any physical office moves including all furniture and equipment.
+ Share all RFR/Building communications in real time with Loxo East team.
+ Serve as fire safety deputy and attend emergency preparedness meetings.
+ Coordinate floor wardens, suite monitors & alternate suite monitors so we have an evacuation plan in place in case of an emergency – update plan yearly with RFR
+ Acting as onsite contact for all visitors, Lilly team members; ensuring all visitors/guests are added to RFR system and provided guidance on accessing Lilly offices/facilities.
+ Coordinate and facilitate all visitor spaces as well as the use of all conference rooms.
+ Support site meetings/events where needed.
+ Manage employee Grub hub portal and team lunches.
+ Answer main telephone lines and direct internal/external calls.
+ Order kitchen supplies and snacks for all kitchens on a weekly basis.
+ Restock snacks, drinks and kitchen supplies 2x daily (or more frequently depending on need).
+ Clean and restock the coffee machine weekly (or more frequently depending on need). Maintain coffee machines on a weekly basis and reach out to vendor to coordinate maintenance as needed.
+ Assist with ordering, set up and clean-up of office lunches (and dinners when necessary).
+ Send and receive packages via USPS, UPS and FedEx.
+ Collect and distribute mail.
+ Maintain all copy rooms and printers/copiers (in coordination with the IT team) and place Staples orders for office as needed.
+ Set up new employee offices / nameplates / office supplies.
+ Ability to occasionally be onsite outside of normal days in the case of special occurrences such as board meetings, audits, etc.
+ Potentially assist with other special projects as needed, including assisting with offsite meetings, events, large print/copy jobs, assist in coordinating external vendors, moving furniture etc.

Qualifications:
•High School Diploma or GED equivalent.
•2+ years of job-related experience.
•Ability to follow basic work routines and standards in the application of work.
•Communication skills to exchange straightforward information.
•Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
•Strong organizational skills with an inquisitive mindset.
