Workplace Experience Service Coordinator

Shift - Monday to Friday; 1st shift, OT as needed

What this job involves - The Workplace Service Coordinator is responsible for providing building service support for our Visitor Center and Executive Area at the Thousand Oaks site.  This position will act as a daytime cleaning and concierge, responsible for start-up, upkeep, meeting/event support and basic repairs. Additionally, this position will provide facilities support including building/space ownership, work order creation, vendor engagement, and walks. This is a 100% onsite position.

What is the day to day?

Customer service interface for B27 Visitor Center, Leadership Forum and Tech Bar and B28 Executive Area

Support/generate work request (via Maximo and/or CrowdComfort)

Organize Meeting supplies in the Leadership Forum

Start-up and maintain Coffee Machines for all assigned spaces

Maintain a clean and ready state areas making sure they are wiped down, swept and clean throughout the day

Coordination with internal and external vendor (Furniture arrangement, food services, janitorial services, etc.) as needed

Address possible minor repairs as needed

Work with JLL Facilities to escalate emergency/break-ins and notify of maintenance, repairs or requests in support of a ready state

Maintain stocked restrooms and kitchen supplies

Act as POC during time of meeting/event, this role may support:

Issue management during the events or meeting

Daily walks to ensure each day of the meeting or event is in a ready state

Participate in the execution of the daily events to ensure we stay on schedule and address or support issues or needs as they arise

Support clean-up and trash removal as requested

Field all calls, emails, texts

Escalations as required

Confirm daily all areas and meeting rooms are reset appropriately

All other duties assigned

Desired experience and technical skills -

Required

High school diploma or GED equivalent

Experience working in a regulated work environment

3+ years of customer service experience in a professional business environment dealing with the public in person and on the phone. Competent in use of Microsoft Office computer application

Excellent communication, client service, and follow up skills

Proven ability to work without direct day to day supervision

Excellent customer service, team player who builds and maintains relationships

Excellent coordination skills especially with multiple vendors and services

Competent in use of Microsoft Office computer applications

Ability to diagnosis problems, make sound decisions, prioritize, schedule and complete multiple tasks

Preferred

Janitorial or cleaning experience

Work Environment

The employee must regularly push/pull up to 10 pounds, frequently push/pull up to 10 – 25 pounds

Staff will perform a mixture of computer work and physical work (walking, cleaning, moving furniture, etc.)

Estimated total compensation for this position:

21.00 – 25.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
