Workplace Operations Director (Europe)

Role description:

Arcadis is looking to hire a Workplace Operations Director (Europe) to deliver the Workplace Promise consistently within the Europe Portfolio.

Global Workplace function within Arcadis manages a portfolio of about 350 offices in three regions namely, America, Europe and APAC ensuring that our workplaces are sustainable and inclusive, inspiring our clients, enhancing collaboration and promoting the wellbeing and health of all Arcadians. 

Accountable to the Global Operations Director (Workplaces), the role of Regional Workplace Operations Director, will be responsible for leading the operational services provided in all properties in Europe with a focus on the leadership and management of the Arcadis Team and contractors delivering services.  The role is accountable for the effective and efficient delivery of the highest standards in all Workplace operational services

The role will interface with Arcadis enabling functions and with other Arcadis countries, regions, functions, people and contractors to support this roles’ leadership of an effective and efficient service provision.

Role accountabilities:

The Regional Workplace Operations Director is accountable for ensuring that all users of our workspace within the European region have a best-in-class user experience. You will be directly accountable for the portfolio in the Europe to deliver the expected user-experience through the management of an internal team and/or through the contract management and service delivery of outsourced Workplace suppliers.  You will also be responsible for managing Country Operational Directors / Leads in the remaining portfolio of Arcadis in the Europe to deliver the operational KPIs for the Workplace Operations function. Your role will be accountable for budget setting, approval of costs, reforecasting and management of the budget. You will lead by example to drive a culture of high performance in Health and Safety  and to embed Sustainability to all aspects of workplace operations for the region. You will also be accountable for ensuring Workplace standards are reviewed and updated as applicable, coordinating Workplace communications and Intranet sites, and supporting workplace projects when required. 

Provide regional leadership to manage a team of country / area managers to  deliver the Workplace operational service to all properties within your remit and in line with the global workplace functional design and standards. Accountable for leadership, development and management of the Workplace Team.  Accountable for implementing and coordinating portfolio-wide actions to operate Arcadis Workplaces in a sustainable model as a data-driven and digitally enabled function. Accountable of integrating acquisition offices and resources to a common operating model with minimum disruptions.  Accountable for the financial management and performance of the regional workplace budget including budget setting and reporting of the supply chain escalation and mitigation of variances. As a key member of the wider regional and global Workplace teams, develop and implement best practices and process for workplace operations and facilities management, actively search of innovations and improvements of the operations function, support management of operational reporting to drive insights and efficiencies. As subject matter specialist, support the Global Operations Director and team to advise and guide Arcadis in all FM and Workplace operational matters related to the region. Act as a trusted expert for managing relationship with stakeholders such as Country and GBA leadership in the region and to deliver on-time resolution of issues related to workplace scope. Drive vendor and supplier management with a regional perspective to realize the maximum potential from the supply chain and to deliver consistent standards of service, ensuring value for money, transparency and a partnership approach which allows innovation and continual improvement. Accountable for implementing compliance regimes, by use of effective audit, monitoring, inspection and reporting, to ensure all workplaces in the region operate in line with relevant legislation, codes of practice and Arcadis policies and standards. Participate and lead rolling out successful digital or other cross-functional initiatives on a global level or with other regions with agreement with the Global Workplace Operations Director. Monitor implementation of various capital projects, integration projects and office moves in the region, delivering the workspace operational scope associated with such activities. Represent Workplace in Crisis Response Teams and develop risk assessment and mitigation measures to handle crisis effectively.  Deputize for the Global Operations Director, Workplaces as required.

 

Key Skills:

Expert knowledge in Workplace operations function and facilities management best practices applicable for a portfolio of similar complexity.  Sound knowledge of digital solutions and trending technology to deliver workplace experience.  Through understanding of budget development, financial reporting, cost control measures, and procurement processes related to workplace operations and facility management.  Knowledge of contract negotiation, management, and vendor relations to ensure service agreements are adhered to and optimized.  Knowledge of cultural differences and norms across the region to ensure effective communication and operations. Knowledge of integration processes to implement a uniform operating model across a portfolio.  Understanding of emergency response protocols, risk assessment, and mitigation strategies to handle crises effectively. 

 

Qualifications & Experience:

A minimum of 8 years’ experience leading a complex FM/Workplace service across multiple countries of comparable size of portfolio. A minimum of three years’ experience managing budgets in excess of $20m including budget setting, reporting and variance management. Strong verbal and written communication skills to effectively communicate with country leadership, reports and contractors across different countries and cultures. Proficiency in understanding technical aspects of building systems and infrastructure to oversee maintenance and upgrades effectively. Ability to negotiate contracts, service agreements, and leases with vendors and service providers across different countries to achieve cost-effective solutions. Membership of a recognized facility management/workplace professional body at a level appropriate to the role.
