Position Overview:

As the welcoming face of our San Francisco office, you play a pivotal role in offering a warm reception to all our employees, clients, and visitors. Your responsibilities include providing a friendly environment, guiding individuals, addressing various inquiries, and ensuring that communications are efficiently relayed to the correct team members. You are entrusted with the vital task of fostering the best-in-class workplace experience through every interaction, while vigilantly upholding the safety and security of our office within a team-oriented environment.

This position will report to the Workplace Operations Manager and is an in-office, 5 days per week role, based in our San Francisco office.

Responsibilities:

· Provide continuous coverage for the front desk. Greet visitors and notify personnel of visitor arrival. Monitor employee and visitor flow in and out of buildings. Maintain security requirements by ensuring visitors sign into electronic visitor kiosk and by partnering with physical security to distribute guest badges. Cover other receptionist lunch breaks as required.

· Pre-register guests using Autodesk visitor system tool.

· Collaborate on developing innovative ideas for an exceptional onsite experience and provide catering resources.

· Regularly update and maintain internal documentation, guides, and FAQs by collaborating with various departments to ensure all information is current and easily accessible for employees.

· Monitor the helpdesk Slack channel and email to promptly address employee queries.

· Ensure that unauthorized individuals are not granted access to buildings. Ensure that employees are using proper access badges. Alert Security or Workplace staff of any disturbances or potentially dangerous situations.

· Maintain professional appearance of building lobby or reception area.

· Receive and route all deliveries at the front desk. Interact with vendors, couriers and delivery personnel. Contact appropriate employees to accept deliveries. Escort visitors to designated areas as needed.

· Dispatch Workplace tickets and track Reception metrics to identify trends and areas for service improvement.

· Assist with departmental purchases, payment processing, expense tracking and other financial transactions.

· Gain expertise and provide information on all available types of spaces, amenities, technology and services offered at One Market and Pier 9 offices.

· Assist with conference room bookings, meeting setups, and event calendar management. May support Workplace and Experience teams with events and workplace projects as needed.

· Liaison and act as a trusted partner to cross functional teams for additional support.

Minimum Qualifications:

· Strong customer service skills

· Excellent organizational skills

· Excellent team collaboration skills

· Ability to multitask and prioritize in a fast pace environment
