Workplace Solutions Specialist
Overview Small enough to care. Big enough to deliver. As a Workplace Solutions Specialist, this position will provide critical administrative and operational support to the Facilities Management team within a headquarters facility. The role focuses on building oversight, mailing services, office supply management, maintenance coordination, and management of vendor contracts. The responsibilities include acting as a liaison between employees and outside contractors. This position focuses on managing administrative tasks while coordinating facilities-related activities to maintain a safe, efficient, and productive work environment. This position involves coordinating day-to-day facilities management, supporting high-level operations and ensuring an optimal workplace experience for employees, executives, and visitors. Responsibilities + Serve as the primary point of contact for day-to-day workplace operations, including managing office supplies, furniture, and equipment. + Act as central point of contact for facilities-related requests, ensuring prompt resolution of issues. + Provides reports on open and closed work orders and checks status with the appropriate technician or vendor. + Creates vendor files and checks accuracy on completed paperwork submitted by vendors. + Trains vendors on work order and billing procedures. Processes invoices and ensures proper cost center coding. + Uses KACE ticket system for projects, repairs, ability to understand, open/close tickets. + Maintain databases and ensure accurate record-keeping for a facilities-related activities. + Works with office supply vendors to coordinate the purchase of office supplies for all MWO locations. + Oversees management of USPS mail pickup from the post office and interoffice transfers. + Oversees management of shipping services –UPS & FedEx & USPS including Business Reply Mail and P.O Boxes. + Coordinates setup, breakdown, and arrangement of amenities (e.g., beverages, ice, and coffee) for meetings and events hosted in the Iowa City Downtown conference rooms, ensuring a professional and well-prepared environment. + Assist in bank wide vehicle fleet management and parking arrangements. + Respond to emails and inquiries related to facilities issues promptly, escalating as necessary. + Excellent organizational and multitasking abilities; with attention to detail. + Strong verbal and written communication skills, with the ability to interact with all levels of staff within a headquarters environment. + Ability to manage competing priorities and meet deadlines in a dynamic work environment. + May require flexibility to work after hours or overtime as needed to support business operations, events, or emergencies. Qualifications + Associates degree or equivalent combination of education and related work experience. + 2-4 years prior experience working in the facilities/property management, commercial real estate or professional services industries preferred. + Proficient in understanding management agreements and contract language. + Experience working with internal and external vendors and service contracting.
